These Terms of Use ("Terms") govern access to and use of the DocsOrb platform, website, and related services ("DocsOrb", "we", "our", "us") provided by DocsOrb UG (haftungsbeschränkt).

DocsOrb is a business policy management platform used to create, maintain, distribute, train on, acknowledge, and track company policies. By accessing or using the service, you agree to these Terms.

Who may use DocsOrb

DocsOrb is intended for business and professional use. You must be legally capable of entering into a binding agreement, and if you use the service on behalf of an organisation, you represent that you are authorised to do so.

Accounts and organisation access

Access to DocsOrb may be provided through email/password login, invited organisation accounts, and supported third-party sign-in methods such as Google. You are responsible for safeguarding your credentials and for all activity under your account.

Organisation admins are responsible for managing users, permissions, groups, assignments, and internal access settings inside their workspace.

The service

DocsOrb may allow customers to:

  • Create policies from scratch or from templates
  • Upload files or import policy content from supported integrations
  • Organise policies into boards and assign them to teams or groups
  • Generate AI-assisted overviews, key points, and draft content
  • Run approvals, training, and acknowledgment workflows
  • Track completion, reminders, audit activity, and compliance metrics

We may add, change, limit, or remove features from time to time as the product evolves.

Customer content and ownership

Customers and users retain ownership of the content they submit to DocsOrb, including policy text, uploaded files, imported documents, prompts, comments, metadata, and compliance records, subject to the rights needed for us to operate the service.

By using DocsOrb, you grant us the limited rights necessary to host, store, process, reproduce, transmit, and display that content solely for the purpose of providing and improving the service, maintaining security, and complying with law.

Customer responsibilities

You agree not to use DocsOrb to:

  • Break the law or violate the rights of others
  • Upload or import content you do not have the right to use
  • Interfere with the service, security controls, or other customers
  • Attempt to gain unauthorised access, reverse engineer restricted parts, or misuse APIs, automations, or integrations
  • Send spam, malware, or harmful content

You are responsible for ensuring that your policies, notices, acknowledgments, and training materials are appropriate for your organisation and legally reviewed where needed.

AI features

DocsOrb includes AI-assisted capabilities. AI outputs are provided for operational assistance and drafting support only. They may be incomplete or inaccurate and are not legal advice. You remain responsible for reviewing and approving any output before relying on it.

Billing and subscriptions

Paid use of DocsOrb may be offered through subscription plans and other commercial arrangements. Pricing, plan limits, and included features are shown on our website or in your commercial agreement.

Where recurring billing applies, subscriptions renew automatically until cancelled in accordance with the applicable plan terms. Payments are handled through Stripe or another designated payment provider.

Availability and changes

We work to keep DocsOrb available, secure, and reliable, but we do not guarantee uninterrupted or error-free operation. We may perform maintenance, apply updates, or modify the service at any time.

Suspension and termination

We may suspend or terminate access if you breach these Terms, misuse the service, create legal or security risk, fail to pay applicable fees, or if we are required to do so by law.

You may stop using the service at any time. Certain provisions of these Terms, including those relating to ownership, disclaimers, liability, and governing law, continue after termination.

Disclaimer and limitation of liability

To the maximum extent permitted by law, DocsOrb is provided "as is" and "as available" without warranties of any kind. We do not warrant that the service will be uninterrupted, secure, or error-free, or that any AI-generated or customer-generated content will be complete or accurate.

To the maximum extent permitted by law, DocsOrb will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenue, data, goodwill, or business opportunity.

Governing law

These Terms are governed by the laws of the Federal Republic of Germany. Any disputes shall be subject to the courts of Munich, Germany, unless mandatory law requires otherwise.
